Salary: £21,000 – £27,000 dependent on experience 

Location: 26 Roseburn Terrace, EH12 6AW and out at all our lovely properties!  

Hours: Full time or part time for the right candidate, Monday to Friday. The flexibility of the position will relate to the seasonality we have in our business as well as the competency and flexibility of the staff member.  The flexibility will be based on a successful probationary period and training and once the new employee has demonstrated their ability to work independently without it affecting their productivity and the performance of the team.  Generally, we have most viewings on Mondays to Thursdays and we have a peak number of viewings from June to the end of September.

Responsibilities 

  • Handle Enquiries: Manage phone-based enquiries from potential tenants, landlords, and existing tenants. Take ownership of our online viewing booking system. 
  • Viewings and Tenant Checks: Monitor our online viewing booking system, book viewings, meet prospective tenants at the properties, and assess their suitability. 
  • Tenant Management: Oversee the post-viewing process, manage tenant applications, and collaborate with the Property Manager and Landlord to select successful tenants. 
  • Reference Checks and Lease Generation: Conduct thorough reference checks and generate leases, addressing all tenant queries before move-in and assisting with on the day move in administration. 
  • Office Management: Participate in day-to-day office activities, including key management, window displays, check-in administration, and assisting in smooth business operations. 
  • Customer Service: Contribute to exceptional customer service through various roles, from administration to marketing projects. We are a small business so all hands on deck!  
  • Team Support: Answer office phone calls and contribute to the overall wellbeing of the office atmosphere. 

Seasonality 

As the business has an element of seasonality we will have peak periods of viewing and referencing. In quieter periods, you will be expected to step in and help the rest of the team with the smooth running of the business – from helping to onboard new clients, taking heaters to properties following boiler breakdowns, or chasing up contractors. It will be varied and busy but training will be provided. We need a real team player! 

Qualifications 

No specific qualifications are required aside from a full clean driving license, but we are looking for someone who embodies the following qualities: 

  • Excellent communication skills—both written and verbal 
  • Good judge of character 
  • Common sense 
  • Polite and confident telephone manner 
  • Well presented, personable, reliable and energetic 
  • Genuine team player who can adopt a flexible working attitude to provide support across the Company to ensure team success  
  • Comfortable working in a small office (max 10 people) 
  • Highly organised with attention to detail 
  • Ability to work well under pressure and multitask within tight deadlines 
  • Strong administration experience and diary management skills

What you will learn 

You will receive superb on-the-job training which will be a mixture of work shadowing, videos, direct training, on the job learning and self-directed study should you wish to progress further. 

Soft Skills: First class transferable skills – interpersonal skills, communication (verbal and written), negotiation, customer service, administration, problem-solving, prioritising tasks  

Industry related training/ qualifications: Microsoft office, SME professional etc, Trello, IRE Inspect Real Estate, Letwell/ARLA/SafeAgent; knowledge of how to maintain a property
